AI-powered application handling automation – faster, more consistent and more resilient processes
The use of AI in operator systems for European funds enables significant acceleration of application verification, maintains high process throughput, and reduces errors resulting from manual work. Artificial intelligence automates repetitive tasks, ensures consistency of assessments, and detects gaps and irregularities in documents more quickly – directly relieving operational teams during periods of high workload. As a result, the entire process becomes more predictable, resilient to volume spikes, and more convenient for employees, who can focus on tasks requiring specialist knowledge and analysis.
Context
In environments where a large volume of applications is handled within a short timeframe, process control, resilience under load, and consistency of decisions are of critical importance. Manual application handling in such conditions leads to overloaded operational teams, extended verification times, and increased risk of errors resulting from time pressure.
The goal of the project was to design a solution that automates key stages of application verification, accelerates application handling, and stabilises the process during periods of peak load.
Challenges

Solution scope
We designed an AI-assisted system that automates the initial stage of application handling. The solution includes, among other things:
- automatic analysis of applications and attached documents,
- verification of data completeness and information consistency,
- checking of basic formal rules,
- flagging of applications requiring additional attention,
- support for operational teams in making further decisions.
Scalability and performance
The solution architecture was designed to handle a high volume of applications without loss of performance. The system is capable of processing multiple applications simultaneously, which is critical in the case of intake periods conducted within short time windows (e.g. a few days for full verification).
Automation reduces the risk of operational bottlenecks and the accumulation of backlogs during peak periods.
Consistency and standardisation of decisions
AI mechanisms operate on the basis of uniform verification rules, which eliminates interpretational inconsistencies between team members. The initial analysis of applications is consistent, repeatable, and independent of the human factor.
This translates directly into higher data quality in the system and greater predictability of the entire application handling process.
Irregularity detection
Automatic analysis enables rapid identification of:
- missing documents,
- data inconsistencies,
- incorrect codes and information,
- applications requiring additional attention,
- deviations from established formal rules.
Applications requiring additional verification are flagged at an early stage, which reduces subsequent corrections and delays.
Document and data flow
The solution supports the organisation of document flow through logical grouping of applications together with their associated attachments. This facilitates further data processing, archiving, and the transfer of complete information sets to subsequent stages of the process or to other systems.
