Office 365: Professional Email Signatures in Outlook Web
Adding a corporate email signature in Outlook Web is a simple way to unify communications, build a professional image, and meet organisational requirements. In this short guide, we show how to create or edit a signature in Outlook within Microsoft 365 step by step, where to find the relevant options, and what to keep in mind to ensure the email signature is applied correctly to every outgoing message.
To add or edit an email signature in Outlook Web within Office 365, follow these steps:

Sign In to Outlook Web
Go to the Outlook Web page and sign in using your Office 365 credentials.

Open Settings
After signing in, click the gear icon in the upper right corner of the screen to open settings.

Go to Mail Settings
In the settings window, select the "Mail" tab, located on the left side.

Edit or Add an Email Signature
In the left-hand menu, find and select "Compose and reply" or a similar option, depending on your version of Outlook Web.
Then locate the "Email signature" section. Here you can create a new email signature or edit an existing one.
In the signature editing field, you can apply text formatting and insert links, images, and other elements you wish to include in the email signature.

After finishing the email signature edit, make sure to click "Save" or a similar button to preserve your changes.

Please note that the email signature will be automatically appended to every outgoing email message. If you want a different email signature for different email accounts configured in Outlook Web, you will need to configure the email signature separately for each account.
If you do not see the option to add or edit an email signature, it may mean that your organisation has defined email signature policies that prevent individual changes by users. In that case, please contact the IT system administrator within your organisation.
